This policy explains which personal data is processed when you visit the website of the GONDER Rugby Jugendfestival (scf-jugendfestival.de) or register a team for the festival, and what rights you have under the General Data Protection Regulation (GDPR).

2. Visiting this website
2.1 Hosting and server log files
The website is hosted by ALL-INKL.COM – Neue Medien Münnich (Germany). When you open a page, the web server automatically records technical data in log files, in particular your IP address, date and time of the request, the requested file, the amount of data transferred, the referring page and information about your browser and operating system.
We process this data to deliver the website, to keep it secure and to detect misuse. Legal basis is Art. 6(1)(f) GDPR (our legitimate interest in a functioning and secure website). The log data is stored only for a limited period set by the hosting provider and is not combined with other data. We have a data processing agreement with the hosting provider.
2.2 No cookies, no tracking, no external resources
This website does not use cookies, analytics or tracking tools and does not display advertising. All fonts, style sheets and scripts are delivered from our own server. Your browser does not connect to Google, content delivery networks or social networks just by opening our pages.
2.3 Links to other websites
Our pages contain links to other websites, for example Facebook (our club’s page), Tournify (live results), Google Maps (directions to the venue) and the website of our sponsor. These are ordinary links: data is only transmitted to those providers after you click on them. On the linked pages, the privacy policies of the respective providers apply. We have no influence on their data processing.
3. Team registration
The link scf-jugendfestival.de/register forwards you to our registration form, which is provided with Microsoft Forms.
3.1 Which data do we process?
The data you enter in the form, for example the name of your club and team, age classes, number of teams, country, and the name, e-mail address and, where requested, phone number of the contact person. Please only enter data of persons who are aware of this and, if applicable, have agreed to it.
3.2 Purpose and legal basis
We use the data to assess your registration, to select and confirm teams, to plan the tournament and to communicate with you about the festival, including payment of the participation fee. Legal basis is Art. 6(1)(b) GDPR (steps taken at your request prior to entering into an agreement, and performance of the agreement) and, for organisational communication with clubs, Art. 6(1)(f) GDPR.
3.3 Microsoft as service provider
The form is operated by Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland, who processes the entries on our behalf. When you open the form, Microsoft also receives technical data such as your IP address and may set cookies that are necessary to operate the form. Data may also be processed in countries outside the European Economic Area; Microsoft uses the safeguards provided by the GDPR for this, such as standard contractual clauses or an adequacy decision. 3.4 Storage period
We keep registration data as long as it is needed to organise the tournament and to handle follow-up questions. Data we have to keep for accounting reasons (for example regarding the payment of participation fees) is stored for the statutory retention period. After that, the data is deleted.
4. Who receives your data?
Registration data is used by the organising team of the festival. Apart from the service providers named above (hosting provider and Microsoft), we do not pass your data on to third parties unless we are legally obliged to do so.
5. Your rights
You have the right, under the conditions of the GDPR, to:
- obtain information about the data we hold about you (Art. 15),
- have inaccurate data corrected (Art. 16),
- have your data erased (Art. 17),
- have the processing restricted (Art. 18),
- receive your data in a portable format (Art. 20),
- object to processing that is based on our legitimate interests (Art. 21), and
- withdraw consent you have given, with effect for the future (Art. 7(3)).
To exercise your rights, please contact us at the address in section 1. You also have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for us is the Hessian Commissioner for Data Protection and Freedom of Information (datenschutz.hessen.de).
There is no obligation to provide your data, but without the data requested in the registration form we cannot consider your team for the festival. We do not use automated decision-making or profiling.
6. Security
This website uses an encrypted connection (HTTPS). You can recognise it by the lock symbol in your browser’s address bar.
7. Changes to this policy
We may update this policy, for example when the website or the registration process changes. The current version is always available on this page.
